De opdracht bestaat uit: 1) de levering, installatie en configuratie van een klantbegeleidingssysteem in het stadskantoor van Leuven ter vervanging van het huidige systeem; 2) het onderhoud van het systeem (soft- en hardware) en technische ondersteuning. Toelichting: Sinds december 2008 werken de loketdiensten van de stad Leuven in het stadskantoor met een klantbegeleidingssysteem. Om tegemoet te komen aan nieuwe verwachtingen inzake een dergelijk systeem en in functie van de primaire doelstelling ,,kwaliteitsvolle dienstverlening" start de stad Leuven met dit bestek de reorganisatie van het klantbegeleidingssysteem. Het stadskantoor van Leuven is qua loketten onderverdeeld in 6 zones: -- 1 centrale onthaalzone, -- 5 loketzones. Enkele belangrijke aandachtspunten zijn dat: -- het denken en handelen vanuit het standpunt van de klant centraal moet staan (burger, bezoeker, loketmedewerker) -- dummieproof systeem; -- het ticketsysteem zorgt dat de klant snel in de juiste zone en daarna aan het juiste loket toekomt en een vlotte afhandeling aan de loketten ondersteunt; -- het systeem rekening houdt met flexibele loketwerking en dus eenvoudig en snel moet kunnen aangepast worden; dit gebeurt bij voorkeur door de supervisor zelf; -- achter het voorgestelde klantbegeleidingssysteem een toekomstvisie zit, waardoor dit systeem op termijn kan gekoppeld worden aan een MidOffice- of crm-systeem bv. werken op afspraak, e-loket, gebruik eID bij aankomst, bezoekersregistratie voor onthaal en alle andere stadsdiensten, open sources. Deze opdracht heeft als doel: het leveren van een flexibel klantbegeleidingssysteem -- zowel softwaresysteem als hardware, de vlotte overgang van het huidige naar het nieuwe systeem, de volledige inrichting en nadien het onderhoud van het systeem (soft- en hardware) en de technische ondersteuning. De gebruikers zijn: -- de burgers, -- de onthaal- en loketmedewerkers (frontoffice), -- de supervisors (backoffice), -- de applicatiebeheerders (ICT). Het systeem omvat hard- en software voor: -- 8 digitale infoborden: deze grote schermen dienen als oproepscherm en communicatiebord, -- interactieve touchscreens met bijhorende CPU's waarvan 3 op staanhoogte, 1 op rolstoelhoogte en 3 deskmodellen voor het onthaal, -- ticketprinters, -- software (onthaal, loketten, systeembeheer).
